How to Set Up Your Calendar Availability

If you’re offering Coaching Calls, Webinars, or any other appointment-based services on WithMe, you’ll want to make sure your calendar availability is set up properly. This ensures you don’t get overbooked and helps your customers book sessions at times that work for both of you. 😎

You can easily set your availability for each individual product (like coaching calls or webinars) or for your entire account. Let’s dive into how to set it up! 🔥


🗓️ How to Set Specific Calendar Availability for Each Product

  1. Go to the “My Store” Tab
    Head over to your My Store tab and add a Coaching Call or similar product to your store.

  2. Navigate to the Availability Tab
    Once the product is created, go to the Availability tab where you can start setting your calendar.

  3. Choose Your Meeting Location
    Select where you want your session to be hosted! Make sure you’ve set up your integrations (Google Calendar, Zoom, etc.) so that meeting links can be automatically sent to your customers.

    Here’s what each option does:

    • 📆 Google Meet: Your customer will receive a calendar invite with a Google Meet link.

    • 🎥 Zoom: They’ll get a Zoom invite, and if Google Calendar is connected, both you and your customer will get a calendar invite!

    • 🗓️ Default: This option will use either Google Meet or Zoom, depending on what you’ve integrated, and send a calendar invite.

    • 🕒 Custom: If you’re doing in-person meetings, no link or calendar invite will be sent.


📅 Call Customization: Make It Yours!

Once you’ve picked your meeting platform, it’s time to configure your call settings!

  1. Choose Your Time Zone
    Set your local time zone. When your customers book a time, they’ll see it in their own local time zone. 🌍

  2. Duration (min)
    Choose how long your meeting will last (anywhere from 15 to 480 minutes).

  3. Prevent Booking Last Minute
    Set a minimum amount of time before an appointment can be booked (12-24 hours recommended). This prevents last-minute bookings. ⏳

  4. Max Attendees
    If you’re hosting a group session or webinar, set how many people can book a spot.

  5. Add Breaks Between Meetings
    You can add breaks before or after your meetings to rest or prepare. 🧘‍♀️


🕒 Setting Your Available Times

Use the Available Times section to choose when you’re open for bookings. Want to add multiple time slots throughout the day? Just click the + icon and add more! ⏰


🚫 Need to Block Off Specific Dates?

If you have existing events or meetings in your Google Calendar, your WithMe calendar will sync with it and automatically block off those times. You can also manually block off dates in WithMe directly:

  1. Block Specific Dates
    Click Block off specific dates if you want to manually mark off time.

  2. Block Time
    Select an empty time/date on your calendar or click the +Block Time button to choose a range.

  3. Set Your Time Range
    Choose the time you want to block off. When you're done, hit Save to update your availability! 🎉
