🎥 Book Coaching Calls with Zoom

Connect Zoom to WithMe so buyers can book, join, reschedule and cancel coaching calls with automatic Zoom meeting links — no Google Calendar required.

🎥 Book Coaching Calls with Zoom

You can now use Zoom for your WithMe coaching calls. Connect your Zoom account once, choose Zoom on any coaching product, and every booked time slot gets its own Zoom meeting automatically. Buyers book, join, reschedule and cancel on their own. Google Calendar is optional.

🔌 Step 1: Connect Zoom

  1. In your WithMe dashboard, go to Settings > Integrations > Meetings.

  2. In the Zoom section, click Connect Zoom.

  3. Sign in to the Zoom account you want to host your coaching calls, and click Allow.

  4. You'll return to WithMe and see Zoom Connected with your Zoom email address.

🗓️ Step 2: Choose Zoom for a coaching product

  1. Go to My Hub and open (or add) a Coaching Call product.

  2. Open the Availability tab and choose Zoom in the booking type menu.

  3. Set your weekly hours and the maximum attendees per time slot, then save the product.

Each product has its own setting, so you can use Zoom for some products and Google Meet for others.

✅ What happens when someone books

  • WithMe creates one Zoom meeting for that time slot. Everyone booked into the same slot shares that meeting.

  • Buyers see a Join button in their sessions and receive the Zoom link by email.

  • You see a Start Zoom button in Calendar and in your sessions. It opens the meeting as the host.

  • If a buyer reschedules, they move to the meeting for their new time. Other attendees keep their link.

  • When the last attendee of a time slot cancels, WithMe deletes that Zoom meeting.

  • If Google Calendar is also connected, the calendar invitation contains the Zoom link.

🛠️ Troubleshooting

  • "Meeting details are still being prepared" — the Zoom meeting is being created. Check your sessions again in a few minutes.

  • "This is a different Zoom account" — reconnect with the Zoom account that created your existing coaching meetings.

  • "Sign in to the WithMe account that started the Zoom connection" — log in to your own WithMe account, then click Connect Zoom again.

  • "Zoom could not be connected" — try again. If it keeps happening, contact us using the help chat.

🔒 Disconnecting or removing Zoom

  • To stop using Zoom, go to Settings > Integrations > Meetings and click Disconnect. WithMe deletes your Zoom access tokens straight away and can no longer create or manage meetings on your behalf.

  • Meetings that were already booked stay in your Zoom account, and buyers keep their existing join links. Switch your products back to Google Meet or reconnect Zoom to accept new Zoom bookings.

  • You can also remove WithMe from Zoom at any time in the Zoom App Marketplace under Manage > Added Apps.

📄 What data WithMe uses

WithMe uses your Zoom user ID, account ID, email and display name to identify your connection. It creates the Zoom meetings for your coaching bookings, reads them to get join and host-start links, and deletes them when a time slot has no attendees left. If creating a meeting times out, WithMe checks your list of scheduled meetings once to find the one it made, so it never creates a duplicate. WithMe does not access recordings, chats, transcripts or participants of any meeting.
